What's new at Tidyflow?

This update brings Tidyflow Agent to every firm, giving you an AI teammate you can delegate Jobs and other work to. It also adds tax organizers for business returns, covering Forms 1120-S, 1065, 1120 and 1041, plus more ways to streamline billing and get paid, including document approvals that unlock after payment, automatic invoice payments, and billing when a Job is completed. Alongside that are mobile apps for iOS and Android in beta, improved client requests and signatures, and a long list of workflow, email, time and billing improvements.

Added

  • Tidyflow Agent - Add an AI agent as a team member and delegate work to it the way you would to a person: assign it a Job or @mention it in a comment. It works the Job and asks you directly when it needs something, and its activity stays internal even on a client-shared Job, so it never messages your clients. Agents are open to every firm now, with a guided setup for choosing which clients they may work on. Ask it which clients still owe you documents and have it draft the chasers, chase overdue invoices, or report what each person completed last week. See what you can ask it.
  • Tax organizers for business returns - Ready-made organizers for Forms 1120-S, 1065, 1120 and 1041, alongside the 1040 organizer, each attached to its matching tax preparation template.
  • Document approvals (e.g. tax return) locked until invoice paid - Link a document approval to an invoice and the client can see it is ready but cannot open, download, approve or sign it until they have paid. It unlocks the moment payment clears, so the work is delivered and paid for in one step instead of chased afterwards.
  • Automatic invoice payment (saved card or bank account) - Clients save a card or bank account when they accept a proposal, or from their portal, and future invoices charge themselves.
  • Card Fee Pass-On - US and Canadian firms can pass the card processing fee on to clients, with pay by bank offered free alongside. It never applies to an automatic charge.
  • Billing on Job Completion - A proposal line can bill when the delivery Job is finished rather than at acceptance, then invoice and charge on its own.
  • Client Statements - Send a client one statement of everything they owe, as at any date you choose.
  • Bulk Invoice Send and Download - Email a batch of invoices in one action, and download a selection as one combined PDF or a zip of separate files.
  • Signatures Inside Client Requests - Collect a filing authorization such as Form 8879 as a signature in the same request as the return, producing a signed PDF with its audit trail. Signature requests now also appear in the client portal beside their documents.
  • Per-Item Client Follow-Ups - Chase one outstanding answer with its own “Ask client” message instead of resending the whole request.
  • Confirmation Questions - Ask a client to tick a single statement, such as agreeing to your engagement terms.
  • Markdown in Job comments - Write comments with headings, lists, bold and links.
  • Job Statuses per Service - Limit a status to certain services, so tax and bookkeeping each get their own statuses and board lanes while sharing Completed.
  • Service Categories - Group your services into categories, applied wherever you pick a service.
  • Inbox Rules That Assign Email - Route incoming email to a teammate, or to an agent, as it arrives. When the client replies, the assigned agent picks the thread back up.
  • Tidyflow for iOS and Android (Beta) - Companion apps on the App Store and Google Play, included on every plan. They are for your team, not your clients, who carry on using the browser portal: work Jobs, triage the shared inbox, and approve what Tidyflow Agent is waiting on.
  • Desktop notifications for new inbox mail - New email in a connected inbox raises a notification from your browser, even when Tidyflow is closed. Enable it per device, choose whether the sender and subject show, and add Tidyflow to your phone’s Home Screen to get the same notifications there.

Improved

  • Reminders stop after 10 unanswered rounds - The chase stops on its own and tells you, and one click restarts it. Reminders also catch up after a missed day instead of skipping a whole cycle.
  • See which requests are still being chased - Reminder state shows on the request list, so you can tell without opening one, and you can filter to the ones that have stopped.
  • One Notification per Completed Request - The firm hears nothing while a client works through a request, then gets a single notification when they finish. The completion email now sends.
  • Australian Tax Templates - Ready-made income tax return organizers and a client onboarding form for AU firms.
  • Invoice a Period from WIP - Filter WIP and the time picker by date range, select all, and raise the invoice straight from your selection.
  • Time that cannot be invoiced now says why - WIP and the Time Entries report name the time held back because a Job is fixed fee or non-billable and link straight to it, instead of quietly showing a smaller total.
  • See what the team completed - Filter and sort the Jobs list by the date work was finished, drag a Job into a Completed lane on the board, and browse a client’s finished work on their Jobs tab.
  • Inbox filters - Filter the inbox by client, and change a conversation’s status from the row.
  • Quarterly repeats keep their schedule - Finishing one late no longer pushes the next one out, and Jobs can be named by quarter and year.
  • Reusing Template Checklists - Duplicate a template, insert a template’s checklist into a live Job, and assign a whole subtask section in one go.
  • Shareable Job Links - Every Job has a link that survives renames, and the Job panel opens the client directly.
  • Clearer Job Completion and Due Dates - Completed Jobs show who finished them and when, and due dates read “tomorrow” or “3 days overdue” beside the date.
  • Photos and long PDFs from clients - Text is extracted from PDFs of any length, and iPhone photos in HEIC format are converted on upload instead of arriving unreadable.
  • Document Audit Trail - See who viewed, downloaded or approved any document and when, not only signed ones.
  • Sharing Files with Clients - Shared files and folders show a Shared badge again, sharing with a contact who has no portal access grants it in the same step, and you can add a message.
  • Sender Aliases per Mailbox - Send from a different name or address per shared mailbox, and see who a conversation is assigned to on the row.
  • Clear notifications in bulk - Select all now clears the whole backlog, however large it has grown.
  • Color Job rows by status - Turn on status colour on the Jobs list from Edit Columns, so a glance down the list shows where everything stands. It is per browser, so it does not change the list for anyone else.
  • The Jobs list remembers your view - Your last list or board choice, and its lane order, is there when you come back. Assignee avatars now show on board cards.
  • Owners can set their own rates and capacity - Set your own billable rate, cost rate and weekly capacity from your user page, so capacity and realization reports include the Owner.
  • Faster Time Logging - Rebuilt time-logging dialogs, plus quicker filters on the Jobs list and reports with a Clear filters action.

Fixed

  • QuickBooks connections - Healthy connections survive a passing error, dormant ones refresh themselves, invoice sync no longer duplicates on a retry, and reconnect prompts and invoice number conflicts are explained clearly.
  • Portal login links and preview mode - Contacts are told why a login link failed, and previewing the portal no longer changes what the firm sees in its own files.
  • Signature fields and signed PDFs - Text fields keep one value, initials place correctly on every page, and signed PDFs render in older browsers.
  • Gmail archiving and IMAP sync - Archiving in Gmail mirrors the whole thread, vanished IMAP moves are reconciled, mailbox discovery no longer repeats on every sync, and mailbox counts and the unread badge are accurate.
  • Job exports and saved views - Exports include filtered child Jobs, and applying a saved view replaces the current filters instead of adding to them.
  • The timer and subtask ordering - The timer saves over the Job drawer, and subtask order sticks when dragging in a template.
  • Subtasks, attachments and templates - Completing a Job completes its chained subtasks, attachments survive deleting another file, the board view is kept when you go back, and template start dates are stored as offsets rather than dropped.
  • Bulk archiving and client imports - Archiving in bulk handles clients with open Jobs, and import field mappings can be cleared.
  • Editing a teammate as an Admin - Role, permission and client-access changes now save instead of being silently dropped.

Client requests grew into full forms, powering Tax Organizers and new Document Approvals. The Client Portal got a full redesign with invoices clients can pay in the portal, the team Inbox was rebuilt around shared mailboxes, and you can now restrict which clients each team member sees.

Added

  • Client Request Forms - Client requests have grown into full forms: group items into sections, show or hide questions based on earlier answers, and collect multiple choice, date, and number answers alongside document uploads. Clients see last year’s answer next to each question and can reuse it with one tap, then review everything and sign off before submitting. A client can mark a document “will provide later” without holding up the rest, and you can reopen a submitted form or fix an answer on a client’s behalf. All of it adds up to full Tax Organizers, with PDF export and a ready-made US 1040 organizer template included.
  • Document Approvals - Attach a PDF or Word document to a client request and ask the client to approve it. They review it in the portal and either approve or request changes with a comment, and you can replace the document without starting over. Every approval is recorded with who approved it and when.
  • Restrict Client Access - Choose what each team member can see: every client, selected client groups, or only the clients assigned to them. Set it when you invite someone or any time after, and Jobs, files, time, and reports follow along.
  • Signature Templates - Build a signature document once, with signer roles and field placements, and send it to any client whenever you need it. You review the prepared document before it goes out.
  • Subtask Sections - Group a Job’s subtasks under your own section headings, with sections carrying through templates, duplicates, and repeating Jobs.
  • Portal Resources - Share your own links with clients, like a scheduling page or key guides, in a new Resources tab in the client portal.
  • Connect Your AI Tools (MCP) - Connect MCP-compatible AI assistants like Claude and ChatGPT to your workspace. They can look up and update Jobs, draft proposals, and add comments on your behalf, always within your permissions and only after you connect them.

Improved

  • Client Portal - A full redesign. Clients land straight on their requests, the documents area got a cleaner browsing and upload experience, and clients with billing access can now view and pay invoices right in the portal. Links in request emails open the request directly, with no sign-in hurdle. You can also preview the portal exactly as a client sees it.
  • Team Inbox - A reworked inbox for the team: shared mailboxes sit in the sidebar with their own Open, Snoozed, and Closed queues, unassigned mail is grouped first with a one-click Take it, and your personal inbox pins anything assigned or mentioned to you until you deal with it. Closing a conversation moves you straight to the next one, with undo. Reading a shared mailbox no longer marks it read for everyone.
  • IMAP Email (Beta) - Connect email from any provider via IMAP, alongside Gmail and Microsoft 365. Gmail is out of beta, and a new Check now button syncs an account on demand with clearer sync status.
  • Emails to Clients - Emails to your clients now lead with your firm’s name and cleaner subject lines instead of an individual staff member, and an optional shared reply-to address routes client replies to one inbox.
  • Invoicing from WIP - Bill all of a client’s unbilled work in one click, group invoice lines by service, by job, or into one line, and adjust write-ups and write-downs with the effect shown live as you shape each draft. Invoice lines now show exactly what your client will see, and discarding a draft returns its time to WIP, so nothing is final until you send.
  • Invoice PDFs - A cleaner, more modern layout for invoice PDFs, with taxes and totals shown clearly.
  • Jobs - Completing a Job can now complete its open subtasks in one go, the activity feed records assignment and status changes, and descriptions and comments support images and GIFs.
  • Job Board - The board remembers that you were using it and keeps your lane order, so it’s set up the way you left it.
  • Repeating Jobs - Pick the exact months of the year a Job repeats in, so seasonal work like BAS lands in the right months. Plus find recurring work faster with a new Recurrence filter, column, and export on the Jobs list.
  • Job Templates - Subtasks in a template can have their own due date offsets, templates can be linked to your services, and rolling a template out to many clients now runs in the background while you keep working.
  • Navigation and Settings - A redesigned left navigation with your choice of a light or dark look, and settings reorganized into clearer full pages, including a new Security section where anyone can turn on two-factor authentication.
  • App Performance - A faster Jobs list, instant inbox folder switching, a snappier timer, and quicker page loads throughout.

Fixed

  • Recurring Invoices - More reliable sending, auto-charging, and invoice numbering.
  • Xero and QuickBooks - More reliable invoice sync with clearer status, invoices sync even when a client wasn’t linked yet, and your client’s billing email now syncs to Xero contacts so reminders reach the right person.
  • Repeating Jobs - Completing repeats in bulk now schedules the next occurrence, weekly repeats keep Sunday selected, and the repeat interval field no longer disappears on some screens.
  • Client Requests - Clearer validation messages, upload items reopen when a file is removed, and completing a request no longer errors in the Job panel.
  • Subtasks - Fixed duplicated rows and ordering glitches when adding or moving subtasks.
  • Jobs List - The service and assignee filters filter correctly again.
  • Time Tracking - Log time directly on a Job again, and timer controls stay available when the navigation is collapsed.
  • Reports - More accurate realization and labor margin figures, and revenue breakdowns now follow invoice lines.
  • Imports and Exports - Smoother client and contact CSV imports, and client exports respect group filters.

  • Client Request Automation - Client requests can now send and chase themselves: pick a send trigger and reminder cadence, let AI sort and name uploaded files for you, and send one batched email per contact instead of one per request. Repeating requests carry it all across every cycle.
  • Job and Subtask Reminders - Add a reminder to any Job or subtask and the right people get notified before it’s due. Reminders carry across duplicated and repeating jobs.
  • Referral Program - Share your link and earn up to $100 per new user. The firm you refer gets 20% off for their first 12 months, all tracked from a new Rewards page in settings.

Improved

  • Reviewable Draft Invoices and Richer Line Descriptions - Invoicing from WIP now creates real drafts on a full-screen review and edit screen, with every client’s draft in one place. Select several at once to approve, send, or reformat their lines in bulk, or work through them one at a time. Line descriptions are richer too: multi-line and bulleted detail, the service description and subtasks pulled in, the option to use the job name as the line title, or to copy a client’s last invoice.
  • Services Catalog - The old Service Types list is now a catalog: set each service to bill hourly, fixed fee, or non-billable, with client-facing descriptions and terms the proposal builder pulls in. Fixed-fee work still tracks time for cost and profitability without clogging your hourly unbilled list.
  • Proposal and Engagement Letter Improvements - Build proposals from your Services catalog and accept on a client’s behalf with a captured signature; accepting now spins up the delivery jobs from your job templates. New proposals also open with a ready-made intro that greets the client by name. Plus suggested signers from the client’s contacts, an auto-generated services-and-fees schedule, smoother sharing and numbering, cleaner PDFs, and the option to delete a proposal once it leaves draft.
  • Initials and Prefilled Fields on E-Signatures - Capture initials as well as full signatures, plus editable sender-prefilled text fields for signers to complete.
  • Redesigned Job View - A two-pane layout with details and conversation on the left and all the properties on the right, with no more page jumps when editing and faster opens.
  • Actual Hours on the Jobs List - A new Actual Hrs column shows time logged per job at a glance, with a drill-down to the entries.
  • Choose When a Repeating Job Recurs - A repeating Job can now create its next occurrence on completion, when it becomes overdue, or a set number of days before it’s due, so recurring monthly work lands on time instead of only after the last one is ticked off.
  • Xero Payment Sync - Invoice payments recorded in Xero now sync back into Tidyflow, so paid status stays up to date without re-keying.
  • Per-Client Default Tax Rates - Set a default tax rate for each client, or import it from Xero or QuickBooks, so it fills in on invoices and proposals automatically.
  • Client Portal Address - Your client portal can now run at your firm’s own address, like yourfirm.tidyflow.com, instead of a generic shared link. Existing links keep working.
  • Easier Login - Sign in with a magic link sent to your email, with your password still available.

A long-overdue update. Two new ways to collect documents from clients: Client Request Checklist Items in the portal, and a no-login Firm Upload Link. Email Management brings Gmail and Microsoft 365 into Tidyflow as a shared inbox alongside your client work. Proposals, Engagement Letters and Payments now run end-to-end in one flow. The first wave of AI is live, including Smart Classification for naming uploaded files. Plus a new Capacity Report, a cleaner UI, and performance work throughout.

Added

  • Client Request Checklist Items - Client request jobs can now include structured checklist items: a file to upload (e.g. “Business chequing statement”) or a question to answer (e.g. “Any unusual transactions this month?”).
  • Firm Upload Link - A single, persistent upload link you can drop into your email signature, a website footer, or anywhere else. Anyone with the link can send files straight into the Files page in your workspace, with no login, no portal account, and no setup per client. A faster way to collect documents from clients who never get round to using the portal.
  • Email Management - A shared inbox for the firm, built into Tidyflow. Connect Gmail (beta) or Microsoft 365 (including the client mailboxes you run for bookkeeping, payroll, or accounting) and every conversation links to the matching client automatically. Assign threads to an owner, draft replies together with internal @ mentions and comments or link it to a job.
  • Proposals & Engagement Letters - Send proposals and engagement letters, get them accepted, and get paid. Future recurring invoices are then created and charged automatically. All in one flow.
  • Payments - Invoices and proposals can be paid online, with cards saved for auto-charge on recurring invoices. Powered by Stripe Connect, set up from within Tidyflow.
  • Artificial Intelligence - The first wave of AI in Tidyflow. A new Assistant can answer plain-language questions about your workspace data (jobs, clients, contacts, invoices, recurring schedules, proposals, payments) within your existing permissions. More AI updates to come.
  • Smart Classification - Tidyflow reads what’s uploaded and suggests the right name and folder for each file. Review suggestions in a dedicated tab and approve, edit, or dismiss them. A fast way to tidy a messy file area.
  • Budget vs Actual Time - The Time report now shows estimated job hours alongside actual time logged, so you can spot jobs running over budget at a glance.
  • Capacity Report - See who has bandwidth for more work, and who’s overcommitted, before assigning the next job.
  • Missive Integration - Create a Tidyflow job directly from any email in Missive, with the subject, sender, and a link back to the conversation pre-filled.

  • Folder Sharing Rights - When sharing a folder with a Contact, you can now choose whether they have view-only access or can also upload to it.
  • App Performance - Various improvements to increase the speed.
  • User Interface - Continued rollout of a cleaner, calmer look across the application, with more consistency between screens.
  • Jobs - Cleaner followers section (including parent-job followers), and full-height comments.
  • Job Board - The board now uses the same filter bar as the list view. Tags, statuses, assignees and search behave identically across both, and toggling between list and board carries your filters across.

  • Magic Link Login for the Client Portal — Contacts can now log in to the portal using a secure magic link, removing the need to remember a password. Links expire after 15 minutes and are limited to 3 uses, protecting against link scanning by email security systems while keeping access secure

  • Electronic Signature Experience — A smoother, more guided signing flow. Signers are now automatically moved to the next field after completing each one, signatures can be uploaded, and the Complete button stays fixed at the top of the screen so it’s always visible. If a signer tries to close the page without clicking Complete, they’ll see a prompt to confirm. Documents also preview correctly on mobile, and the date format on signed documents now respects your region settings
  • Login Experience — Refreshed login flow with a cleaner layout and improved usability
