Email Integration
Karbon’s email integration is its standout feature. It syncs deeply with Gmail and Outlook, pulling emails into the platform and linking them to clients and jobs automatically. You can triage emails, assign them to team members, and manage your inbox alongside your workflow — all within Karbon.
Tidyflow has a shared inbox for Gmail, Microsoft 365 or IMAP (IMAP in beta), with Open, Snoozed and Closed queues, unassigned mail listed first with a one-click Take it, threads pinned to your personal inbox when you are assigned or @mentioned, AI thread summaries, and rules that route inbound email to a person or an agent teammate. Karbon Triage is still excellent and more central to the whole product: email is the spine of Karbon in a way it is not in Tidyflow.
Workflow Automation
Compare the specific trigger, action and exception your firm needs. Tidyflow supports When-Then rules, recurring templates, dependencies and automatic client reminders; Pro adds conditional request questions and service-specific statuses. Karbon lists task automation and automatic client reminders on Business and above. Run the same multi-step process in both products before judging the automation.
Larger Team Features
Tidyflow includes job comments, @mentions, activity history, shared email and clear assignees. For a larger firm, compare how each product handles your teams, permissions, review handoffs and reporting; the presence of comments or mentions alone does not distinguish them.
Integration Ecosystem
Karbon integrates with a wider range of tools — including tax software, proposal tools, and reporting platforms. If your firm relies on a large tech stack, Karbon is more likely to connect with your existing tools.
Where Tidyflow Is Stronger
Client Portal
Tidyflow includes a full client portal where clients can upload documents, respond to requests, view shared files, and sign documents. This is a core feature, not an afterthought.
Karbon for Clients also provides a dedicated portal, including a client mobile app. Compare how easily a client completes your organizer, finds a shared document and finishes the final handoff in each product.
Invoicing and Payments
Tidyflow has built-in invoicing, recurring invoices, PDF generation, and online payments via Stripe. You can bill clients and get paid without leaving the platform.
Karbon has Billing & Payments too: time or fixed-fee invoices, recurring billing, and card or direct debit with auto-pay. Both tools cover the basics. Tidyflow connects WIP billing and proposals to jobs and client records. Pro adds invoice-linked document approvals, with connected online payments required to enable the payment lock. Include that plan when comparing the complete workflow.
E-Signatures
Tidyflow includes e-signatures. Send engagement letters, tax authority forms, and other documents for signing directly through the client portal.
Karbon offers native eSignatures and approvals, with request credits described on its pricing page. Tidyflow includes unlimited standalone signature requests; Pro adds signing within client approval requests. Compare the signing and identity-verification process required for your documents as well as the price.
Client Requests with Auto-Reminders
Tidyflow lets you create document requests listing exactly what you need from a client, set a deadline, and automatically send reminders until the client responds. This is a significant time-saver for firms that spend hours chasing clients for documents.
Tidyflow also includes five ready-made US tax organizers, previous Tidyflow answers for reuse and deferred-document tracking. Its reminders stop after ten unanswered rounds and notify the firm. Test those details alongside Karbon’s portal and reminder workflow rather than assuming a document checklist is the whole intake process.
Reports and API
Tidyflow ships eight reports: Time Summary, Time Entries, Billing, Aged Receivables, WIP, Realization, Revenue Insights and Capacity. Realization, Revenue Insights and Capacity are Pro reports. Pro also enables new personal API tokens (clients, contacts, jobs, time logs, users) and Zapier through the same token. Karbon gates custom reporting and API access to add-ons or its Business tier and above.
Tidyflow Agent
Tidyflow Agent is included on every plan: an AI teammate you can assign a Job to or @mention in a comment or on an inbox thread, plus connectors so Claude, ChatGPT and other MCP tools can work inside your workspace. Sensitive actions wait for a human approval card, and agents never email clients directly. Karbon has Karbon AI too; Tidyflow’s agent is a teammate you can assign work to.
