Reset workspace to clear demo and test data

The Reset workspace option lets you clear all demo or test data from your workspace so you can start again with a clean slate.

This is commonly used when you’ve been testing Tidyflow, importing sample data, or setting things up incorrectly and want to restart properly before going live.

What does resetting a workspace do?

You choose what to reset. There are three options:

  • Clear client data deletes your clients and contacts, jobs and time entries, client requests, proposals and invoices, files and folders, and internal inbox comments and assignments. Your job templates, services, job statuses, folder templates, engagement letter and signature templates stay exactly as they are. This is the usual choice for removing demo data.
  • Start over clears client data too, and also restores job templates, job statuses, services, folder templates and the engagement letter to the defaults for your region. Signature templates are deleted.
  • Choose what to reset lets you tick each item yourself, for example to delete only jobs and keep your clients.

Some items depend on others. Deleting clients also deletes their jobs, billing and files, and resetting job statuses also resets jobs and job templates. The checklist ticks these for you.

Before you confirm, the dialog shows what will be deleted and what will be kept. Deleted data cannot be recovered.

What always stays intact?

Resetting your workspace does not delete your account or workspace itself.

These things are never reset:

  • User accounts
  • Roles and permissions
  • Workspace settings
  • Security settings
  • Two-factor authentication rules
  • Connected email accounts and their emails
  • Integrations and API connections
  • Tax rates and custom fields

Who can reset the workspace?

Only Owner users can reset a workspace.

If you do not see the Reset workspace option, you likely do not have Owner permissions.
An Owner will need to perform this action on your behalf.

When should you reset your workspace?

Reset Workspace is useful if:

  • You were testing the product and want a clean setup
  • You imported incorrect, duplicate, or sample data
  • You used demo clients or jobs and want to start real work
  • You want to reset everything before onboarding your team

Many firms use this once after testing and before fully adopting Tidyflow.

When should you not reset your workspace?

You should not reset your workspace if:

  • You only want to remove a few clients or jobs
  • You may need the existing data later
  • You haven’t exported the records you need to keep

If you’re unsure, it’s best not to proceed.

For copies of existing records, see Export Jobs and Back up client files and folders. These exports cover the contents listed in those articles; they cannot undo a workspace reset or restore the workspace into Tidyflow.

How to reset your workspace

  1. Go to Settings > General
  2. Scroll to Danger zone
  3. On the Reset workspace row, click Reset workspace
  4. Choose Clear client data, Start over or Choose what to reset
  5. Review what will be deleted and kept, then confirm

The reset runs in the background and usually takes a moment. While it runs, editing is paused for everyone in the workspace, and a banner shows at the top of the page. Only one reset can run at a time.

After resetting your workspace

After the reset:

  • You can add real clients and jobs
  • Re-import data if needed
  • Adjust any templates or workflows you reset to the defaults

For help setting things up, open Help & Support and choose Book a getting started call, or contact support.
